Frequently Asked Questions

Where do we eat?

All participants will eat meals in the Benedictine College Dining Hall Dining Hall.

Where will I stay?

All participants will be housed in single sex college dorms. All bedding is provided, but many students choose to bring an extra pillow or blanket just in case. The dorms can be particularly cold at night.

What should I pack?

What if I’m flying in?

Many of our participants come from quite a distance! We are located 40 minutes from the Kansas City International Airport (MCI) and provide a shuttle service free of charge to and from the airport for our conferences. If you plan to use our shuttle service, please make sure you complete your flight information form at least two weeks before the first day of the conference! If you do not complete a flight information form at least two weeks ahead of time we may not have a spot for you on your shuttle of choice and you may have to wait for the last shuttle of the day.  The first shuttle pickup will begin at 11 a.m.

Please ensure your flight arrives no later than 3:30 p.m. so that you have enough time to get outside to be picked up by the shuttle.

Shuttles will depart from Benedictine on the last day of the conference to return to the airport at 1:30 p.m. Please make sure your flight does not depart before 4:00 p.m. so that you have adequate time to get to your gate.

We are only able to provide shuttle service to those students who are flying into the airport. We cannot transport parents in the shuttle. We can also not pick up students who have been dropped off at the airport instead of on campus. If you are driving in you will need to be dropped off on campus.

When and Where is Check-in?

Check-in is from 3-5 p.m. on the Sunday that camp begins.  BCYC Missionaries will be outside at the Campus Drive directing cars toward our check-in location.

Do you accept roommate requests?

Yes, we do! On your detailed registration form, which you will receive after you register for BCYC, there is a place for you to request a roommate. There are sometimes large groups of students who all request one another. We do our best to honor all roommate requests but cannot guarantee that all requests will be granted. All roommate requests must be submitted at least one month before the conference begins. After that point we cannot accept roommate requests.

Who should I call in case of emergency?

Our staff will be available 24/7 during all conferences to answer any questions and handle emergencies. If you need to get in contact with the BCYO Staff at any time for any reason please call (913) 360-7406.

What do I do if I have a food allergy?

If you have any dietary restrictions, please make sure to list them on your detailed registration form in the ‘allergies’ section. If you have already completed this form and have a new dietary restriction or forgot to list it, please e-mail us at youthoutreach@benedictine.edu to let us know so that we can update your information.

What is the weather like and how should I dress?

Kansas is warm during the summer. It is hot during the day and pleasant at night and in the mornings. Some of the buildings may be chilly so please plan to bring a sweater or jacket. Please dress in modest, comfortable clothing. We expect that all shorts will be longer than t-shirts or sweatshirts at all times, that no midriffs are showing, and that the shoulder straps on all tank tops are at least three fingers wide. Please refrain from wearing low cut tops, miniskirts, short shorts, or tube tops. If you are dressed inappropriately one of the Missionaries will pull you aside privately and ask you to adjust your outfit accordingly.

What if I need to arrive to BCYC late or leave early?

We understand that parents are entrusting their teens to us during their time on campus and we take that responsibility very seriously. For the safety and security of the conference and our ability to run smoothly, please do not plan on arriving late or leaving early to BCYC! When a student leaves early it has a ripple effect to their roommate, small group, and track. We want every student who attends BCYC to have the best week possible.

If an unavoidable circumstance arises please contact Patricia Oliver, the Coordinator of Youth Outreach, to discuss the conflict and make necessary arrangements. Under no circumstances should a parent pick up their teen early from BCYC without first contacting us!

Can I leave for a sports practice, lunch with a family member, or another conflict and then return to BCYC?

No, you may not leave campus for any reason and then return for the rest of the week. We take the safety and security of the conference very seriously and cannot allow participants to come and go throughout the week. We understand that teens today are very busy with sports camps, may have family visiting, or may be involved in other summer programs. As you decide which week to attend BCYC please keep your other commitments in mind.

If there is an extenuating circumstance that requires your teen to leave and then return to the program please contact Patricia Oliver, the Coordinator of Youth Outreach, to discuss the conflict and make the necessary arrangements. Under no circumstances should a parent pick up their teen from BCYC without first contacting us! If you pick up your student without first contacting us we will ask that your student does not return for the rest of the program.

Who supervises the teens?

Your teen will be under the care and supervision of our trained summer missionary staff. This includes our Coordinator of Youth Outreach, Chaplain, and a team of Benedictine College Students who spend their Summer as BCYC Missionaries. These Missionaries will supervise students in the dorms, during classes, and during all activities at BCYC.

What if my plans change after I have registered?

If your plans change after you register, we would first encourage you to see if another session of Immersion fits into your summer schedule. You can switch tracks or sessions as room allows up to two weeks before the conference begins. We understand that sometimes you will be unable to attend any session of Immersion. If this is the case, the $150 deposit is non-refundable once you have registered for Immersion. The remaining amount is refundable up to 30 days before Immersion begins. Within 30 days of the conference the paid amount is non-refundable due to supply, staffing, and meal expenses. Exceptions to these rules can be made in extenuating circumstances, please contact us if your plans have changed.

Can I bring my phone or computer?

We do allow students to bring their phones to BCYC, however we ask that they keep them put away. We should not see their phones during classes, prayer times, presentations, or activities. If a student’s phone becomes a problem during any of these times, they are causing the teen to isolate themselves during meals, or they cannot use their phones appropriately and responsibly then the Missionary staff will confiscate their phones for the remainder of the week and keep it locked in our office. Parents will be made aware that the phone has been taken and we can coordinate opportunities for the teen to call home if the parent feels it is needed.

Some tracks require a student to bring their laptop. If your track requires a laptop we will let you know! If you are not asked to bring a laptop for class, we recommend you leave it at home.
